Privacy Policy
Student data belongs to the college. This notice explains what Gradlit holds, why, and who can see it.
01Who controls the data
Each college that uses Gradlit decides what student, staff and institutional data is entered into the service and how it is used. The college is the owner and controller of that data. We process it on the college's behalf to provide the service.
This policy also covers information that visitors and college representatives share with us through this website, such as the signup and contact forms.
02Information we handle
Depending on the modules a college enables, the service may hold:
- Applicant details and documents submitted through the Admissions Hub.
- Student records such as roll number, programme, class, attendance, marks, results and fee status.
- Placement information such as resumes, drive applications, interview round results and offers.
- Alumni details that graduates choose to keep updated.
- Faculty notes, syllabus documents and textbook lists uploaded for the AI Study Guide, and the questions students ask it.
- Staff accounts, roles and activity logs needed for security and audit.
From this website we receive the details you enter in our forms: your name, email, designation, college, university affiliation and message.
03How information is used
College data is used only to run the modules the college has enabled: managing admissions, recording attendance, conducting exams, collecting fees, running placement drives, maintaining alumni records and answering study questions from the college's own materials.
Website form details are used to create your account, send your login credentials, and reply to your enquiry.
We do not sell student, staff or college data, and we do not use it for advertising.
04Sharing with companies for placements
Student profiles are shared with a recruiting company only when the student applies to that company's drive and gives consent for that drive. Only the fields required by the drive, as configured by the placement officer, are shared.
Students can withdraw from a drive before shortlisting; their profile is then no longer shared for that drive.
05AI features
The AI Study Guide answers questions using the materials the college has uploaded. College materials and student questions are not used to train models for other institutions.
AI readiness suggestions in the Placement Cell are advisory. AI is not used to decide admissions, results or shortlisting; those decisions are made by the college and by recruiting companies.
The AI Study Guide is switched off for a programme during its exam timetable.
06Access and security
Access is role-based. Students, faculty, accounts, exam cell and placement staff see only what their role requires. Administrative actions are logged with the user and time.
Data is encrypted in transit and at rest, and access by our own staff is limited to support requests raised by the college.
07Retention and deletion
College data is kept for as long as the college uses the service, and for the period the college sets for academic records. When a college ends its subscription, it can export its data, after which it is deleted from active systems within 90 days.
Enquiries from the website are kept as long as needed to respond and to maintain a record of the conversation.
08Your choices
Students and staff who want to see, correct or remove their information should contact their college, which manages their records. We assist colleges in responding to such requests.
If you submitted a form on this website, you can ask us to correct or delete your details using the registrar contact form.
09Changes to this policy
If we change how data is handled in a way that affects colleges, we will inform college administrators before the change takes effect.
